During your involvement in the London borough of Barnet, Early Help Activities on the www.barnetyouth.uk website we will take photograph(s) and/or recordings of the activities Set out below is the relevant information you will need to understand the usage whether the images/imagery is printed or electronic form i.e. websites, film and multimedia. Please note that websites can be seen worldwide and not just in the UK where UK law applies.
What the images will be used for:
- Promotional and advertising of children and young people involved in activities
- Promotion of activities, programmes and/or projects:
- Positive Activities Holidays or Term Time Programmes
- The BACE Holidays programme
- The DofE Award
- Reporting evidence to relevant Professional/s and governing bodies
The photograph(s), images and/or recording(s) will be used solely in direct relation to the following: All Activities photograph/s and recordings will be used solely in conjunction with the London Borough of Barnet or in conjunction with named Partners and/or other Governing Bodies/Organisations such as: Department of Education and/or the DofE Award.
What the photographs and/or recordings may appear on:
Promotional material of children and young people involved in activities via London Borough of Barnet, Young Barnet Foundation and/or Department of Education (DfE) following outlets:
- Publishing on the LBB website and the Early Help Website (www.barnetyouth.uk) webpage and social media pages.
- Using as part of montage to create a composite picture that will be displayed in public buildings and other public places in the borough.
- Publishing in LBB publications, for example Barnet First the Council’s quarterly magazine and e -newsletter.
- Young Barnet Foundation and Partner websites/social media pages involved in the delivery
- Local and National Media Coverage of the DfE HAF Programme/BACE Holidays
How long will the consent last for?
The consent will last for 5 years from the date of publication which would be placed on an internal schedule to ensure we monitor the time frame.
How do we store your photograph/s and/or recordings?
We will store your photograph(s), images and/or recording(s) securely in our image/audio library up to the time specified above. Your permission will automatically expire after this period. The photograph/s and/or recording/s will be held by LBB in accordance with the Data Protection Act 2018 UK GDPR.
Your Permission:
The London Borough of Barnet will contact individual families where further permission and agreement is required for usage of photograph/s and/or recordings in the following instance:
- Campaigns or usage on a wider coverage
Please provide the information requested below which will give us your consent to use your photograph(s), images and/or recording(s) under the conditions outlined above and the terms of the Data Protection Act 2018 UK GDPR.

- we will not include personal details of any person in a photograph/recording, whether in printed or electronic form, without good reason (for example, we may include the full name of a competition prize winner if we have their consent).
I/We the Parent/Guardian/Carer have read, understand and agree to the use of photograph/s and recording/s of my/our child/young people particularly with younger children under 5’s.
I/We understand that any sole photograph/s and/or recording/s of our child/ren and/or young person/people outside of a group image. The London Borough of Barnet will contact myself/us to seek further permission and agreement for usage.
During your child/ren’s participation we are always keen to receive photograph’s and/or recordings of the things they have made/achieved or general updates of their time on the activity. This has always been something we have wanted to promote therefore we have now set up a new page where you can put forward your own images. You can submit as many different photographs, recordings, and other items related to our delivery i.e. journalist stories.
- Submissions must not be sent through agencies or third parties.
- By submitting your Submission you give permission for the London Borough of Barnet (‘LBB’) to use your material free of charge
- You confirm that they have obtained the consent of all individuals/persons present in any photos submitted.
By submitting you are agreeing for the item/s to be used for publicity purposes on:
- The Early Help Website (www.barnetyouth.uk)
- The London Borough of Barnet website and publications such as: Youth First newsletter, Barnet First Magazine
- Using your Submission as part of montage to create a composite picture that will be displayed in
- public buildings and other public places in the borough.
- Publishing your Submission in LBB publications, for example Barnet First the Council’s quarterly
- magazine and e -newsletter.
I/we declare that the Submission(s) is/are my original work/s and you hold all legal right to authorise use and publication of the Submission(s). LBB do not accept any liability for the publication of unlawfully reproduced Submission(s) or any infringement of copyright law.

All activities are logged on the internal EHM system within 0 -19 Early Help Service to:
- record participation levels of young people in attendance
- evaluation and outcomes of engagement and the session content
- concerns or issues that may arise with young people as a group or individually
To ensure quality assurance and a high standard of delivery takes place. After each activity your child/young person and each parent/carer/guardian will be asked to complete a feedback form. This will be confidential and will support future funding and projects.
